Having just hired and inducted another great frontline team member, Coco Ruby Plastic Surgery HAWTHORN is seeking a friendly and mature Medical Receptionist to join our growing plastic surgeon practice – either part time or full time.

This is a busy role using your caring & empathetic customer service skills to provide a professional and welcoming reception for our patients as well as our highly experienced plastic surgeons & clinical team.

About You

  • Are you a fast learner, with experience in the use of Microsoft (Outlook, Word & Excel) and a Medical diary software like Genie?
  • Are you a proactive problem solver that takes initiative to tackle challenges but who can also follow instructions, accept feedback, and work within a team environment?
  • Do you have attention to detail and the ability to remain calm while attending to multiple tasks (clients, emails, phone calls, etc) ?
  • Do you have previous experience working in the medical industry (Specialist practice preferred)?.
  • Can you work either fulltime or part-time rostered hours to cover Reception on Monday to Friday 8am to 6pm with occasional late Thurs or Sat am by rotation.

You’ll be responsible for

  • Delivering an exceptional first impression for visitors
  • Meeting and Greeting patients at reception
  • Managing incoming reception desk phone calls, email & mail
  • Scheduling and organising patient appointments using Genie software
  • Processing patient information, payments and Medicare rebates
  • Providing Information about our services and Medicare
  • Handling initial patient enquiries and questions – by phone & email
  • General office tasks including using Microsoft Word and Excel
  • Managing patient paperwork, referrals and billing – including typing
  • Managing the Reception Area and hosting patients (tea/coffee making)
  • Office cleaning, general housekeeping

 You need to have 

  • 3+ years of Medical reception experience – Specialist or GP
  • Strong knowledge of MS Office and a Diary Appointment Booking program
  • An understanding of a Medical Practice Booking Diary software (Genie is preferred)
  • A strong interest in Aesthetics & Cosmetic Surgery (Breast, Body & Face Surgery), Facial Rejuvenation or Skin Treatments
  • A friendly, warm and caring personality
  • Attention to detail is critical, as is the ability to cheerfully multi-task
  • A stable work history demonstrating competence and good typing skills
  • MUST Live within 30 mins drive of Hawthorn or prepared to relocate

This is a senior role managing the people and performance side of our busy group plastic surgery clinic in Hawthorn, VIC and is ideal for someone with experience in a group medical practice – managing many medical practitioners and a big support team. 

We are growing and need someone to help execute the exciting vision for the future.

This is a hands-on role working closely with our five specialist surgeons (Plastic & ENT), 3 nurse injectors, 2 dermal clinicians, and a friendly team of nurses and admin staff to grow the practice and build the brand. 

The Practice Manager position is supported by the Business Manager (responsible for Sales & Marketing) and the Operations team (responsible for Admin, Finance, IT/Tech, Building Maintenance and Projects)

Clinical Staff Supervision & Support

  1. Management and Supervision of activities of Dermal Clinicians, Nurses and Patient Advisors, Admin & Reception team – including regular coaching and performance reviews
  2. People Management including Recruitment, Appraisals, Leave Approval, Rostering
  3. Oversee Rostering of nurses for rooms and Hospital rounds
  4. Compliance with all legislation and best practice medical guidelines
  5. Oversee training program for nurses and CME Points Accreditation
  6. Liaise with Employsure to ensure compliance with changing workplace Regulations

Medical/Clinical Tasks

  1. Manage Clinic Relationships with Hospitals, Assistants & Anaesthetists
  2. Oversee Theatre Rostering for surgeons and their premier surgical team
  3. Provide Backup Nursing and Support to surgeon teams on occasion
  4. Oversee the Monitoring of Medicare Billing and Pathology results, providing item number advice for surgeons/finance

Manage Patient Experience

  1. Deliver Exceptional Patient Care – Highest Patient Satisfaction levels
  2. Oversee all Patient Feedback – SMS, Reviews and Patient Surveys
  3. Monitor and resolve any patient Complaints and Patient Follow-ups
  4. Oversee accurate Patient Quoting and Medicare/Health Fund estimates

Compliance & Risk Reduction

  1. Ensure Accurate Genie Clinical Documentation and Auditing – photos and clinical notes are correct
  2. Improve quality and security of Patient Photos and Clinical Records
  3. Manage clinic WHS and OHS Compliance

Stock Management

  • Management and security of Medical Supplies – Oversee Stock Control and Purchasing
  • Control and ordering of Medical Supplies, Garments, Patient Amenities
  • Authorise consumables for Dermal Treatments
  • Monitor and Authorise Office Supplies, Patient expenses

Special Projects as required

  • Assist with Onboarding of New Surgeons
  • Investigate new Capital Purchases

The PMS is the heart of any practice.

  • It is our patient database, our Clinic diary, and our financial and reporting system.
  • Our PMS is called Genie, but most PMS are similar in nature.

  • This can help ensure that PMS software is something you’ll be able to master if you are selected for a role at one of our Clinics.

3. Proven Communication Skills and former Customer Service & Sales Experience

  • You will also need to know how to explain cosmetic procedures and promote Specialist services.
  • Furthermore, you need to understand the differences in the types of Surgeons who perform this type of service.
  • This includes good communication skills to help explain the benefits of various procedures to prospective Patients as well as risks and recovery information.

  • Rapport building, empathy, appreciative questioning as well as, high-level listening skills.
